Operations Manager

Indigitous is looking for an Operations Manager to keep our team and leadership organized, efficient, and moving forward.

This role blends executive support, operational oversight, and project/event execution—ensuring that leadership is supported, systems are effective, and initiatives are successfully implemented.

Role Summary

Indigitous is looking for an Operations Manager to keep our team and leadership organized, efficient, and moving forward. This role blends executive support, operational oversight, and project/event execution—ensuring that leadership is supported, systems are effective, and initiatives are successfully implemented.

A key part of this role will be managing the operations and logistics for #HACK, Indigitous’ annual global hackathon, ensuring its smooth execution across multiple locations worldwide and supporting city champions who lead local events. Additionally, this role may involve supporting product management efforts for the MissionHub app, coordinating roundtable gatherings of digital strategists and Indigitous community leaders in various geographies, and working closely with marketing efforts to ensure effective communication and outreach.

Key Responsibilities

Executive Support

  • Manage the Managing Director’s schedule, email, and key priorities.
  • Coordinate travel, speaking engagements, and critical meetings.
  • Handle administrative tasks to free up leadership for strategic initiatives.

Operations & Team Management

  • Oversee operational processes, keeping the team organized and aligned.
  • Manage budgets, financial tracking, and reporting.
  • Maintain CRM and key databases.

Project & Event Execution

  • Drive the execution of key projects, ensuring deadlines and deliverables are met.
  • Oversee logistics for events, team gatherings, and major initiatives.
  • Play a central role in planning and executing #HACK, including:
  • Coordinating global and local event logistics.
  • Managing participant and partner communications.
  • Supporting tech platforms and operational workflows.
  • Providing operational and logistical support to city champions running local #HACK events.
  • Ensuring smooth execution across multiple locations.
  • Support roundtable gatherings of digital strategists and Indigitous community leaders, including planning logistics and facilitating engagement.
  • Work across teams to streamline operations and improve efficiency.

Coordination with Marketing

  • Work closely with the marketing team to ensure alignment between operations and promotional efforts.
  • Support marketing-related logistics for #HACK, MissionHub, and other Indigitous initiatives.
  • Coordinate the timing and execution of campaigns, ensuring that messaging aligns with event and product timelines.

Potential Product Management Support

  • Assist in the ongoing development and relaunch of MissionHub, including coordinating product priorities, user engagement, and operational workflows.
  • Work with developers, designers, and stakeholders to ensure MissionHub meets the needs of users and aligns with Indigitous’ mission.
  • Provide administrative and logistical support for product testing, user feedback collection, and feature rollout.

Preferred Experience:

  • 5+ years in operations, executive support, or project management.
  • Experience with event planning and logistics, ideally for large-scale or global events.
  • Experience with budgeting, scheduling, and CRM tools.
  • Exposure to marketing coordination or campaign management is a plus.
  • Exposure to product management, app development, or user engagement is a plus.
  • Strong written and verbal communication skills.
  • Prior experience in nonprofit, ministry, or digital missions is a plus.

Notes

  • Preference will be given to candidates who are willing to raise financial support to cover their salary and ministry expenses.
  • Some global travel (10-20 nights/year) will be required.
